Rent ledgers and prorated rent
LeaseLine Rent Ledger calculates prorated rent and a tenant's rent balance for small landlords and property managers. Give it the lease terms and the payments you received, and it builds a tenant ledger with amounts computed to the cent: rent charged each month, partial payments, late fees by your lease rule, and a running balance, plus the amount due as of any date.
Prorated rent for move-in and move-out: enter the rent and the move-in or move-out date and see the amount by all three common methods side by side, with the daily rate and the formula: actual days in the month, a 30-day month, and a 365-day year (rent x 12 / 365). The move-in and move-out days both count, and leap-year February is handled.
Tenant ledger: rent is charged on the due day each month, with a prorated first and last month. Payments are applied to the oldest charge first (or to rent before late fees, if your lease says so), and an overpayment becomes a credit that carries forward. Late fees follow the rule you enter: a flat fee, a percent of rent, a daily fee with a monthly cap, or a flat fee plus a daily fee, after a grace period. Rent increases, utility bills, pet rent, returned check fees and concessions can be added. Type the payments in the chat or attach a CSV or Excel file with a date column and an amount column.
The ledger appears as a table with a running balance, a summary card (total charged, paid, late fees, balance due), and a proration explainer. Download a clean PDF tenant ledger statement for your records or for the tenant, an Excel workbook (ledger, rent by month, summary), and a CSV.
Good for landlords who need a rent ledger template filled in, proof of rent payments for a tenant, the balance after a partial payment, or a tenant payment history for the year.
Limitations: this is a calculation, not legal advice. It applies the late fee rule you enter and does not check state or city late-fee limits, so check your state's rules. It does not calculate security deposit interest, collect rent, send notices, or store ledgers; download links expire after about an hour. Amounts are in US dollars, proration applies when rent is due on the 1st, and a ledger covers up to 10 years and 5,000 payments.
